Overview of the Exchange calendar

Use the calendar in Exchange to manage your personal appointments, university meetings, and other events.

Exchange Calendar in Outlook, Entourage, and OWA

The Exchange calendar allows you to track and manage the events in your life. From personal appointments to university meetings, you can use Exchange for all your calendaring needs.

The Exchange calendar is available in Outlook 2003/2007 for Windows, as well as Entourage 2004/2008 for Mac OS X. You can also access your calendar in Outlook Web Access (OWA).

The Exchange calendar is available to faculty and staff only. Before you can log in to OWA or access your Exchange calendar, you must have an account. Contact your department's technical support staff for help requesting an Exchange account if you don't have one already.

Meetings & Appointments

You can invite anyone to your meetings. You can invite coworkers, students, and even people that aren't officially affiliated with Illinois State University. You can also reserve locations for your meetings. This guarantees the room's availability at the time of your meeting.

When you create a meeting, it's sent as an email message to the people you invite. Use Outlook, Entourage, or OWA to accept or decline meeting invitations.

An appointment is just like a meeting, except you don't invite people to attend. You can use the Exchange calendar to manage all your appointments—both personal and university-related. Add conferences, holidays, dentist appointments, sick days, and any other kind of reminder to your calendar.

Calendar on the Web

You can access your Exchange calendar on the Web using Outlook Web Access (OWA). This is handy any time you need to interact with your calendar but are away from your desk.

To log in to OWA, go to http://owa.ilstu.edu. OWA looks best with Internet Explorer on Windows, but it works with Firefox and Safari too.

OWA works with Outlook and Entourage. Appointments and meetings added to your calendar in Outlook or Entourage are automatically available in OWA (and vice versa).

Share Your Calendar

You can share your calendar so other people can interact with it. You may want to share your calendar with your coworkers and your supervisor so they know when you are unavailable. You can mark events as "private" so they cannot be viewed, even by people with whom your calendar is shared.

You can limit a person's access to your calendar so they can see it, but cannot make changes or create new calendar events. You can also give someone full access to your calendar so they can act as your delegate. Your delegate can create new appointments and meetings on your behalf.
