Understanding the "Exchange calendar and email" option

With the "Exchange calendar and email" option, your email switches to Exchange; you won't use email as you have in the past.

Exchange Options

There are two options for using Exchange. This article discusses the second option, Exchange Calendar and Email.

Option 1: Exchange Calendar Only

If you choose this option, you will access Exchange for your calendar only. You will continue to use email just as you do now. You will use Outlook or Entourage to get your Exchange calendar. You can also access your Exchange calendar on the Web using Outlook Web Access (OWA) at http://owa.ilstu.edu. This is the default option.

Option 2: Exchange Calendar and Email

If you choose this option, you access Exchange for both calendar and email. You won't use Thunderbird, Apple Mail, Webmail, or iCampus for email anymore. Instead, you will use Outlook or Entourage for all of your email needs. If you need to get your email on the Web, you can log in to Outlook Web Access (OWA) at http://owa.ilstu.edu

How does "Exchange Calendar and Email" work?

If you do not yet have access to Exchange, your can request an Exchange account using the Technology Request website.

Use Outlook or Entourage

You need Outlook or Entourage installed. Contact your department's technical support staff for help. If you are switching to Outlook or Entourage from a different email client, like Thunderbird or Apple Mail, you should make arrangements for moving your email, address book, and other personal settings to Exchange.

Set Up Email Forward

You must set up an email forward. Go to the ULID Maintenance web page and click ULID Email Forwarding. Forward your email to yourULID@exchange.ilstu.edu.

Your Exchange Calendar

To view or make changes to your calendar, open Outlook or Entourage (or log in to OWA).

When you invite people to meetings, they receive the invitations as emails. When they accept or decline your meeting, your Exchange calendar is updated so you know whether or not they will attend.

When someone invites you to a meeting, you will get the invitation as an email. Since you've elected to use Exchange for both email and calendar, you will log in to Outlook, Entourage, or OWA to check email. You will see the email invite in your Exchange Inbox. You may respond to the meeting invitation by clicking Accept or Decline directly in the email invite.

All Your Email Goes to Exchange

In fact, all email (not just meeting invites) will arrive in your Exchange Inbox. You will always use Outlook, Entourage, or OWA to check and send email. You will no longer use Webmail, iCampus, Thuderbird, or Apple Mail for email. Also, your email is not stored on the central, campus mail server (mail.ilstu.edu); your mail is stored on the Exchange server (exchange.ilstu.edu).

Despite this, your email address has not changed. Your email address remains yourULID@ilstu.edu.
